Before implementing AvidXchange, United Bank faced significant challenges with its accounts payable (AP) process. Paper invoices had to be physically routed throughout the bank for review, approvals were handwritten, and credit card statements and expense reports were managed in Excel—leading to delays, data silos, and missed opportunities for process optimization. “The system we were using was very basic,” said Smith. “The version we were on at least was very, very basic, and we needed a more robust solution—something more versatile, that would give us better reporting and imaging and offer a more user-friendly experience.”

In addition to transitioning platforms, the bank was also able to consolidate from 32 separate entities down to seven, making the implementation a significant milestone for operational simplification. “This was my first major implementation in over a decade,” added Smith. “And the support from the sales, training, and implementation teams made all the difference.” The solution’s scalability and intuitive interface made it a natural fit as the organization continued to grow—including a major merger in the first half of 2025.

Following the recent merger, invoice volume has grown significantly, and the team now manages a database of over 11,000 active suppliers.
